Eureka Symphony Orchestra Manager

Overview: The Eureka Symphony seeks applicants to fill the position of Orchestra Manager. The Orchestra Manager facilitates the functioning of the Symphony through such activities as player recruitment; securing and preparing rehearsal and concert venues; tracking player attendance at rehearsals and concerts; acquisition and distribution of music; communication of relevant information to orchestra members; and maintenance of a roster of current, past, and potential players. There are four concerts per year with two performances for each concert. (In the future, the number may increase by one per year). The Manager works very closely with the Conductor/Musical Director and is an ex officio, non-voting member of the Eureka Symphony Board of Directors.

Required skills and experience: The position of Orchestra Manager requires exceptional organizational and interpersonal skills; well-developed computer skills; and a working knowledge of the functioning and operations of an orchestra. Needs to have a personal computer with the appropriate programs and software. Knowledge of musical resources and Humboldt County musicians and musical contacts is very desirable.

Stipend and Work Hours: The position currently carries a stipend of $1400 per concert series ($5600 per year) and averages about 75 hours per series (300 hours per year). Some concerts may require more time than others, and the Orchestra Manager must have the time and flexibility available in his/her schedule to devote to the position. If the Manager is not a member of the orchestra, he/she must attend each performance and rehearsal (typically six Tuesday nights leading up to the concert week-end and the Thursday before the concert). While the position is under an annual contract and evaluation, the Symphony is seeking an individual who could commit to the position for up to five years.

NOTE: It may be possible and desirable to split this position and have some or all of the music library functions done by a second individual. This would reduce the stipend to the Manager to about $1000 per concert series. Applicants who believe they could perform all duties as well as those who believe they would like the assistance of a music librarian are encouraged to apply.

Position begins with the 2008/2009 season (July 1, 2008) but training and orientation with the current manager will happen before that time.

Complete List of Duties:

Oversee production aspects of the orchestra and concert season and work closely with Conductor to assure a successful concert series. May supervise assistant positions.

Attend monthly Board Meetings and prepare and present a Manager's report as necessary at each meeting. Serve as a communication link between the Board and the Orchestra, bringing Orchestra concerns to the Board and sharing Board minutes, decisions, and concerns with the Orchestra.

Serve on the Board Venue Committee and prepare the technical rider required of the Arkley Center for each concert. Assist as necessary in directing correct preparation of the stage for each concert.

Develop and maintain a master list of musicians to be divided into three categories: current orchestra members; known musicians who might supplement the orchestra as needed for various pieces; and potential musicians (including out-of-area musicians) who might be contacted to audition to obtain full instrumentation for any concert piece. Contact data should be obtained on each musician, including email addresses, and a listserv maintained of current orchestra members.

Communicate with orchestra members regarding the annual concert program dates, rehearsal dates, program selections, and any other issues of concern to the players.

Obtain release forms for all personnel, including photo release, name release, production release, etc. Make sure that forms are signed for each Orchestra season and as new players are recruited during the program year.

Provide a roster of orchestra members by instrument for publication in the Symphony playbill, prior to first rehearsal of the first concert and for program inserts as the roster changes from concert to concert. As requested, prepare program notes for the printed program/insert for each concert. Work closely with production of poster to assure that all information is correct.

Communicate with Conductor for a rehearsal schedule for every concert set.
For each concert series, determine the instrumentation that is required and insure a complete complement of musicians. If additional musicians are needed for one or more program pieces, locate necessary musicians, providing them with music and all relevant information regarding rehearsals and performances.

If additional instruments are required for a concert series that are not owned by the required musicians, arrange to borrow or rent the instruments for rehearsals and performances; arrange for transportation of instruments if necessary (this is almost always required for percussion instruments).

Set up/break down the rehearsal room if not done by Eureka High School staff. Inform custodians at EHS of rehearsal dates and ask that room be open. At the end of each concert season, make contract with district office for the use of the EHS music room for the next year’s concert season.

Keep in close contact with conductor about personnel changes.

Provide conductor with a list of all members who will be absent during a rehearsal. Track absences at each rehearsal and contact members who were not present, determine why, and contact the conductor with this information. Remind absent members of the next rehearsal, and if necessary, obtain replacements for musicians who will not be able to attend future rehearsals.

Obtain list of complimentary ticket requests from players, send list into the Arkley Center for processing; distribute comp tickets to players as needed.

Set up and attend any auditions with Conductor prior to concert season and possibly concert set.

Music Library duties

Obtain music list for each concert and locate appropriate sources for acquiring the music. Obtain music by renting, borrowing, or purchasing the music. Music for each concert should arrive at least three weeks prior to the first rehearsal of each concert, including all instrument parts.

Distribute music to the Concert Master and other string section leaders for bowing as soon as possible after music arrives.

Distribute music, copying as necessary, to orchestra members such that it is received at least one week prior to the first rehearsal. Collect music after each concert series and return to suppliers as appropriate
